Overview of the role
We are looking for a dedicated and detail-oriented Fleet Coordinator to join our team at Al Futtaim / Trading Enterprises in Dubai, UAE. The primary focus of this role is to support all administrative tasks for the fleet team, ensuring efficient and accurate operations. This position plays a crucial role in linking various sales and operational roles within the fleet department and external service providers to ensure seamless vehicle delivery to our customers
What you will do
• Follow and observe the Standard Operating Procedure for fleet within Al Futtaim / Trading Enterprises, coordinating with stakeholders and managing communication in a timely manner.
• Report fleet activity, including fleet sales and fleet opportunity sales funnel, ensuring reporting accuracy and pipeline development
• Support fleet demo test drives by coordinating with fleet drivers, logistics, and cleaners to ensure demo cars are provided to customers on time, cleaned, charged, and thoroughly checked
• Create and update customer accounts, generate sales orders, and assign vehicles to each order, ensuring all information is correctly entered and maintained
• Monitor and maintain conditions of sales orders, including fleet support, discounts, service contract promotions, and charger promotions
• Collaborate with the preparation team, logistics, and customers to coordinate smooth and timely vehicle deliveries, addressing any potential issues to ensure customer satisfaction
• Manage the cancellation and rebilling of invoices, oversee documentation related to bank deals, and maintain organized records to support auditing and compliance requirements
• Meet and greet customers visiting the showroom for vehicle viewing, short test drives, payment, and documentation handove
Required skills to be successful
• A high school diploma or equivalent
• A minimum of 2 years of experience in a similar role, with experience in fleet customer and sales coordination
• Proficiency in SAP and Salesforce systems
• Strong skills in MS Office, especially MS Excel and PowerPoin
About the team
You will be part of a dynamic team that works collaboratively to ensure the delivery of fleet strategic priorities for Al Futtaim Electric Mobility Company. The team requires a good understanding of the sales process and internal policies, and you will work closely with various departments, including marketing, IT, and customer service
